Strategic Plan Initiative Implementation Process

 

Reporting and Monitoring

graybgIMPLEMENTATION_page2.jpgOn June 24, 2014, the ASHRAE Board of Directors (BOD) approved a Strategic Plan, effective July 1, 2014. The implementation process for this plan is as follows:

 

Year 1

Planning Committee (PLC), via liaisons, will distribute assigned initiatives to Councils/Committees/Ad Hocs along with the tracking and reporting tools at the Annual Conference meeting of each Council (which will primarily occur after the Sunday Board meeting). Councils/Committees/Ad Hocs will use these initiatives to establish MBO items/action plans for the upcoming year. These MBO items/action plans will be returned to Planning Committee for review and comment. (Report Template shown on Page 7.)

June – October:
Councils and Committees will continue to define actions to address the assigned initiatives. Councils/ Committees/Ad Hocs will provide progress reports to the Planning Committee, via their liaisons, on the status of the initiatives to which they have been assigned prior to the Fall Board Meeting/Conference Call.

Fall Board Meeting/Conference Call:
Planning Committee will report on the progress of the initiatives at the Fall Board meeting. Feedback will be given from the BOD via the Planning Committee liaisons to Councils/Committees/Ad Hocs during and after the Fall Board Meeting/Conference Call.

November – January:
Based on the feedback from the Fall Board meeting, the Councils/Committees/Ad Hocs will finalize their first round of strategies to support the objectives of the Strategic Plan and will provide progress report forms to the Planning Committee.

Winter Conference:
The Planning Committee will review the progress report forms provided by the Councils/Committees/ Ad Hocs and provide a report to the BOD at the Sunday BOD meeting. The BOD will provide feedback to the Planning Committee as well as to Council Chairs. This feedback will be re-distributed to the Councils/Committees/Ad Hocs prior to their meeting at the Winter Conference so that adjustments needed for the year can be addressed.

January – March:
Councils/Committees/Ad Hocs will continue the implementation of the MBO/action plans developed to complete the initiatives and support the objectives of the Strategic Plan.

Spring Board Meeting/Conference Call:
Updates will be requested by Planning Committee from Councils/Committees/Ad Hocs prior to the Spring Board Meeting. Councils/Committees/Ad Hocs will report on assigned initiatives and update their action plans to address each initiative. Planning Committee will report on the progress of the initiatives at the Spring Board meeting. The BOD will review proposed actions from all assigned groups and provide feedback/recommendations for the upcoming year. Feedback will be given from the BOD via the Planning Committee liaisons to Councils/Committees during and after the Spring Board Meeting/Conference Call).

March – June:
Councils/Committees/Ad Hocs will continue the implementation of the MBO/action plans developed to complete the initiatives and support the objectives of the Strategic Plan.

 

Years 2-5

Annual Conference:
Prior to the Annual Conference, assigned Councils/Committees/Ad Hocs will provide progress reports to the Planning Committee of work completed in the prior year. Planning Committee will review the status of the initiatives assigned to each Council/Committee/Ad Hoc along with the recommendations from the BOD for the upcoming year. Planning Committee will report to the BOD at the Annual Conference on the progress from the previous year, as well as suggestions for improvement for the upcoming year. After gaining BOD approval, Planning Committee will provide advice/support to all Councils/Committees/ Ad Hocs for the upcoming year. Groups assigned to on-going strategic initiatives will update MBOs for the upcoming year at the Annual Conference, and these MBOs will be routed back through Planning Committee for comments/suggestions.

June – October:
Councils and Committees will continue the implementation of the MBO/action plans for the assigned initiatives to implement Strategic Plan objectives.

Fall Board Meeting/Conference Call:
Updates will be requested by the Planning Committee from the Councils/Committees/Ad Hocs prior to the Fall Board Meeting. The Councils/Committees/Ad Hocs will report on assigned initiatives and provide action plans to address each initiative which has been assigned. Planning Committee will report on the progress of the initiatives at the Fall Board meeting. Feedback will be given from the BOD via Planning Committee liaisons to Councils/Committees during and after the Fall Board Meeting/Conference Call.

November – January:
Councils and Committees will continue their work to support the objectives of the Strategic Plan and will provide progress reports to the Board and Planning Committee prior to the Winter Conference.

Winter Conference:
The Planning Committee will review the progress report forms provided by the Councils/Committees/ Ad Hocs and report to the BOD at the Sunday BOD meeting. The BOD will provide feedback to the Planning Committee as well as to Council Chairs. This feedback will be re-distributed to the Councils/ Committees/Ad Hocs prior to their meeting at the Winter Conference so that any adjustments needed for the year can be addressed.

Planning Committee will report on the progress of the initiatives at the Spring Board meeting. The BOD will review progress of all actions from assigned groups and provide feedback/ recommendations for the upcoming year. Feedback will be given from BOD via the Planning Committee liaisons to Councils/Committees/Ad Hocs during and after the Spring Board Meeting/Conference Call).

March – June:
Councils/Committees/Ad Hocs will continue the implementation of the MBO/action plans developed to complete the initiatives and support the objectives of the Strategic Plan.
