Fundraising Assistant

We have an immediate opening for an Assistant on the fundraising team. The position supports the annual Research Campaign, ASHRAE Foundation and Major Gifts/Corporate Fundraising programs. This position requires a minimum 4 years of administrative office experience and at least two years of college.

  • Maintain filing systems for both electronic and hard copy documentation as need for the Research Promotion (RP) campaign, ASHRAE Foundation and major gifts programs.
  • Keep constituent records up to date in NetForum (ASHRAE’s contact/donor management system).
  • Manage and prepare financial reports and reimbursements for Staff and Members (e.g., prepare reimbursements, manage and track American Express expenses, prepare monthly budget reports, etc.)
  • Electronically update the ASHRAE Wall of Honor as needed throughout the year.
  • Maintain all updates on the various Development websites.
  • Work with ASHRAE’s IT Department and Development Managers to maintain accurate development reports and create new reports as needs arise.
  • Assist in preparing, packing, and shipping documents and other materials for the Society’s semi-annual meetings.
  • Assist with all Research Promotion (RP), Foundation, College of Fellows, Life Members Club and Development Committee tasks related to meeting prep, meeting minutes, meeting set up, post meeting follow with Members as requested by the Development Managers.
  • Prepare and distribute correspondence, lists, meeting agendas, meeting minutes and other documents as requested by Development Managers.
  • Manage and prepare acknowledgement, thank you, and tax letters for all contributions.
  • Research information and draft documents related to donors, prospects, programs, funding opportunities, etc.
  • Assist in planning trips to visit volunteers, donors, and prospects; prepare informational packets, set appointments and make travel arrangements and support.
  • Ensure team tasks are tracked and updated in ASANA or any other project management program, maintain updated Basecamp projects for all Development-related Member Committees, and keep any Development-related calendars up to date as needed.
  • Participate in planning events and projects; gather information for and create presentations.
  • Schedule meetings and conference calls; attending as requested and take minutes for meetings.
  • Execute and track the shipment of certificates, awards and supplies in support of the RP Campaign, centralized trainings and Chapters Regional Conference (CRC)C events; working directly with the volunteers to coordinate these projects.
  • Manage the coding of all development contributions and corrections, as needed. Assist in processing of contributions during RP deadlines.
  • Assist in monthly procedures for RP.
  • Tracking and maintenance of all sectional supplies, materials, and inventory.
  • Maintain professional and technical knowledge necessary to perform duties and responsibilities.
  • Execute special projects and other work, as assigned by the Director of Development. 

MINIMUM REQUIREMENTS 

  • Minimum 4 years of administrative office experience with Excellent oral and written communication skills.
  • Strong proficiency in all Microsoft Office applications, especially in Microsoft Word, Excel, and PowerPoint.
  • Strong organizational skills with the ability to coordinate, prioritize, and complete multiple projects simultaneously under deadlines in a fast-paced environment.
  • Excellent research and organizational skills.

ORGANIZATIONAL RELATIONSHIPS

This position reports to the Director of Development.  Also interacts frequently with Development staff and other ASHRAE staff, including Directors.  Interacts frequently with donors and other members.

Travel time: 0-5%
